Terms & Conditions
1. Introduction
These Terms and Conditions govern all bookings made with Twombili Tours Company Ltd., a family-owned adventure travel company based in Mbeya, Tanzania. By booking a tour, you confirm that you have read, understood, and agreed to these Terms. The primary client (the individual making the booking) accepts these terms on behalf of all travelers named in the booking.
2. Privacy and Data Protection
Twombili Tours is committed to protecting your privacy and managing personal information responsibly. By using our services, you consent to the collection and use of your data in accordance with our Privacy Policy.
3. Booking, Deposits, and Payments
- Deposit: A non-refundable deposit of 20% of the total tour cost is required to secure a booking.
- Final Payment: The balance must be paid no later than six weeks before the tour starts. For bookings made within six weeks of departure, full payment is due upon confirmation.
- Payment Instructions: Provided via email. All payments must be made free from bank fees or transaction surcharges.
4. Booking Agreement
A booking is confirmed when Twombili Tours receives the deposit and sends a written confirmation. The client must:
- Be at least 18 years old.
- Provide accurate personal information.
- Obtain necessary consent for group bookings.
5. Medical Conditions
All clients are required to truthfully provide relevant medical information upon booking their tour. Clients are responsible for assessing their own suitability and capability to participate in a tour. It is strongly recommended that all clients consult their physician regarding their fitness for travel and any necessary vaccinations or medical precautions.
Twombili Tours operates adventure tours that may take clients to remote or less developed regions where medical facilities may not meet the standards of their home country. The quality of medical facilities in these areas varies, and Twombili Tours makes no representations or guarantees regarding the availability or quality of medical treatment.
6. Modifications and Itinerary Changes
6.1 Changes by the Client
- Modifications within 10 days of booking confirmation: If you identify any errors (e.g., misspelled names) or wish to make changes within 10 days of booking confirmation, please notify us promptly to avoid additional charges. Modifications requested after the 10-day period will incur a modification fee of $100.

Modifications 61+ days before departure:
If your departure date is more than 61 days away and 20% of the itinerary cost has been paid, you can modify the itinerary, activities, accommodations, or route. A $60 administrative fee will apply per modification. The original services will be canceled, and the new services will be charged at updated rates.
Arrival Date Modifications: Requests must be made 61+ days before departure. The new date must be within 12 months of the original travel date. Limited to one modification and subject to a $100 administrative fee. -
Modifications up to 7 days before departure:
Replacement of a traveler is allowed up to 7 days before departure. A $100 administrative fee applies, plus any supplier costs.
No Modifications within 7 Days: Requests made less than 7 days before departure will be treated as cancellations.
6.2 Changes by Twombili Tours
- Major Changes: In the event of significant changes (excluding force majeure or airline schedule changes), clients may accept changes, select an alternative tour, request a price reduction, or terminate the agreement for a full refund.
- Minor Changes: Minor changes do not qualify for compensation.
- Force Majeure: No liability for circumstances beyond our control.
- Children under 2 Years Old: Not eligible for compensation.
7. Cancellations & Refunds
Client Cancellations
- 61+ days before departure: Loss of deposit.
- 60–45 days: 40% of total cost.
- 44–29 days: 75% of total cost.
- 28–7 days: 90% of total cost.
- Less than 7 days: 100% of total cost.
Company Cancellations
- Alternative tour of similar value.
- Full refund of payments made.
8. Travel Insurance
Comprehensive travel insurance covering medical emergencies, evacuation, repatriation, cancellations, and personal loss is mandatory.
9. Prices, Surcharges, and Taxes
Price Adjustments
- Accommodation costs
- Fuel prices
- Taxes and government fees
If surcharges exceed 10%, clients may cancel within 14 days.
9.1 Website Pricing
All website prices are guidelines only. Final quotations are valid for 3 weeks.
9.2 Child & Age-Based Pricing Policy
Age Categories
- 0–4 years: Infants & Toddlers
- 5–11 years: Children
- 12–15 years: Young Teens
- 16+ years: Adults
Eligibility Conditions
- Minimum two full-paying adults
- Shared accommodation
- Private road safari only
- No extra vehicle required
- Accommodation accepts children
Limitations and Exclusions
- Separate rooms
- Luxury Plus or fly-in safaris
- Restricted activities
- Supplier adult-rate requirements
Final Pricing Determination
Pricing is confirmed during quotation and may be offered or withheld based on feasibility.
10. Itinerary Changes
No refunds for unused services due to weather, unrest, or mechanical issues.
11. Assumption of Risk
Clients acknowledge inherent travel risks.
12. Special Requirements
Special requests cannot be guaranteed.

19. Amendments
Terms may be amended. Updated terms apply unless objected to within two weeks.
